Electronic Patient Records (EPRs) are central to the NHS's digital transformation, and with near universal coverage across providers now achieved, the challenge has shifted decisively from implementation to optimisation: making sure advanced features are used to improve care, streamline processes, and support staff in their work. Usability, data quality and clinical adoption are now firmly in the spotlight, with national attention on ensuring EPRs release time to care rather than add to the administrative burden.

Judges will be looking for entries that show how EPRs have been optimised to deliver measurable results beyond business as usual implementation - what is the 'extra 5%' that sets your work apart from day to day EPR management? The strongest submissions will highlight clear benefits for patients and staff, effective change management, and plans for building on those improvements over time.

Eligibility

  • Open to all NHS organisations (including acute trusts, mental health trusts, community and integrated care providers) and system partnerships.
  • Evidence provided and projects/workstreams impacting the entry should be ongoing or completed within the 2 years up until the award entry deadline.

Ambition

The challenge and context within which your project, person or organisation is set alongside your goals and targets whether quantitative or qualitative, and how this aligns with national priorities.

  • Describe your starting point (baseline digital maturity, usability or patient safety issues) and why optimisation was essential, setting out clear objectives for the work.
  • Explain what differentiates your optimisation programme from business-as-usual EPR management - what made your approach new or distinct?
  • Show how goals align with organisational, system and national priorities, including the drive to improve EPR usability and frontline productivity.

Collaboration

The stakeholders' involvement in co-designing and delivering the project. How have patients, staff at all levels, communities and other parties worked together to realise the outcomes?

  • Demonstrate engagement of staff, patients and partners in design, training and optimisation.
  • Highlight leadership roles, governance and collaborative working across services, including between clinical, operational and digital teams.
  • Show how feedback was gathered and acted upon throughout the project.

Impact

The measurable benefits delivered to patients, staff, your organisation or the wider system. Provide data and evidence showing improvements to outcomes, quality, access, equity or efficiency.

  • Evidence measurable benefits such as improved patient safety, faster workflows, better documentation and enhanced clinical decision making, with clear before-and-after data.
  • Demonstrate adoption and effective use of advanced features across teams and services, including evaluation findings, audits or benchmarking data to validate results.
  • Quantify financial and non-financial benefits, including cost savings, productivity gains and time released for care.

Scale

How your work has been shared, adopted or replicated beyond your immediate team or organisation. This includes dissemination through publications, presentations, toolkits, partnerships or inspiring similar initiatives elsewhere.

  • Evidence how learning, tools or approaches have been shared internally and externally, including through publications, presentations, toolkits or networks.
  • Show replication or adaptation in other teams, sites or systems - judges are particularly interested in work that has crossed organisational boundaries.
  • Outline plans for scaling and delivering wider impact.

Sustainability

The potential for the project/work to continue and create lasting impact. Evidence of how it can be sustained or built upon.

  • Show how improvements are sustained and expanded beyond initial go-live, with optimisation embedded as a continuous discipline rather than a one-off project.
  • Describe the resource, governance and funding in place to sustain the work.
  • Provide evidence of your plans to build on the improvements over time.
